Terms of use

Last updated 25 September 2026

These terms cover using GuestCam, a service for collecting guests' photos and videos at an event. By creating an event or sharing photos to one, you accept them. Questions: [email protected].

What GuestCam does

Guests scan a QR code and send photos and videos from their own phones. Approved photos appear on a screen at the event and in an album the organiser can share and download.

Who owns the photos

Guests keep ownership of what they take. By sharing a photo to an event, a guest allows the organiser and their guests to view, download and keep it, and allows GuestCam to store and display it for that event. I do not claim ownership and do not use anyone's photos for my own promotion without asking first.

What organisers are responsible for

  • Making sure they may run the event and invite guests to share photos.
  • For schools and events involving children: following their own consent rules, and having someone approve photos.
  • Deciding who can approve photos, and who receives the album link.
  • Downloading anything they want to keep before the event is deleted.

What guests agree to

Share only photos you took, of a gathering you were part of. Nothing unlawful, harassing, or of someone who has asked not to be photographed. Organisers can hide or delete any photo, and can block an account from sending more.

What it costs

School events are currently free for schools in Australia and New Zealand. That means graduations, formals, presentation nights, sports presentations and similar events run by a school for its students. Everything else is $50 AUD for the event: unlimited guests, unlimited photos, the live screen, and the album afterwards. There is no subscription and nothing recurring — you are invoiced once, for the event you booked.

Prices are in Australian dollars. Any GST that applies is shown on the invoice.

The free school price is for schools. If an account books school events for something else — a private party, a business function, a paid event run by someone else — I will ask about it first, and I may charge the normal price or close the account. I will not cut off an event that is already running.

Paying

You are sent an invoice by email. It can be paid by card or PayPal. The event is set up once the invoice is paid, and the link, QR code and printable table cards are emailed to you. If you need the event sooner than payment allows, say so and I will sort it out.

PayPal and card payments are handled by PayPal. I never see or hold your card details.

Refunds

Before your guests have sent 10 photos, you can change your mind and get a refund — no reason needed. Ask by replying to your invoice or emailing [email protected] with your booking reference.

A change-of-mind refund is the amount you paid less the payment processing fee, which PayPal keeps whether or not the payment is refunded. On a $50 AUD booking that fee is typically $1.75–$2.25 AUD, so you would be refunded $47.75–$48.25 AUD. Which end applies is PayPal’s call, not mine — money funded from overseas costs more to receive. It is not a charge I make or keep.

Once 10 photos have been sent, the service has been used, and change-of-mind refunds no longer apply. The event keeps running and the album is still yours.

That limit is about changing your mind. It is not about things going wrong. If GuestCam fails you — the screen does not work, photos are lost, the album never arrives — tell me and I will put it right or refund you in full, including the processing fee, whatever the photo count says. Australian Consumer Law gives you guarantees that no policy of mine can remove, including a remedy when a service is not delivered with due care or does not do what was promised.

Check the venue before you pay. GuestCam works through your guests' phones, so it needs either venue wifi that guests can use, or good mobile reception where the event is. Please test both at the venue before you pay: open guestcam.app/demo there and send a photo, once on the wifi and once on mobile data. If neither is reliable, GuestCam cannot work 100%. A refund because the venue's wifi or mobile reception was not good enough is not a fault in GuestCam, so it is refunded less the PayPal processing fee ($1.75-$2.25 AUD on $50.00 AUD), not in full.

Refunds go back to the way you paid, usually within five business days.

If I have to cancel

If I cannot run your event — hardware failure, or anything else at my end — I will tell you as early as I can and refund you in full. If that happens close to the day, tell me and I will help you find another option.

How long an event lasts

An event and everything in it is permanently deleted one month after it closes, or 90 days after it is created if it has no closing date. I will keep an event longer if you ask. See the privacy page.

Removing content, and ending an account

I may remove content or close an account that breaks these terms, or where I am legally required to. Where I can, I will explain why first. You can delete your events and account whenever you like.

What I can and cannot promise

GuestCam runs on my own hardware and depends on internet connections I do not control, including the venue's wifi and guests' mobile signal there, which is why I ask you to test both at the venue before you pay. I work hard to keep it running during events, but I cannot promise it will never be unavailable, and I cannot promise that every photo a guest tries to send will arrive.

Except where the law says otherwise, I am not liable for indirect loss, and my total liability is limited to what you paid me for the event in question. Nothing here limits rights you have under the Australian Consumer Law, which cannot be excluded.

Who you are dealing with

GuestCam is run by Toby Te Rupe, ABN 23 461 272 821, in Orange, New South Wales, Australia. Invoices are issued in that name. Contact: [email protected].

Changes and law

If these terms change I will update this page and its date, and tell organisers with an event running. These terms are governed by the law of New South Wales, Australia.
